• Business and employee data (department, job title)
• Attendance logs (clock-in/out times, breaks)
• Clock-in and clock-out location data when geofence protection is enabled
• Selfie images captured during mobile login, mobile manual clock-in, mobile biometric login, or mobile clock-in verification flows
• Passkey credential identifiers and device authentication metadata
• Shift schedules and leave requests
• Subscription plan, seat usage, invoices, and billing status
• Basic usage and analytics data

How We Use Your Data

Your data is used strictly to operate and improve the platform:

• Provide attendance tracking and timesheets
• Enable employee and business management features
• Process shift scheduling and leave approvals
• Verify location radius rules for time clock actions
• Verify and review login or clock-in selfie evidence where your business plan allows it
• Enable device passkey and biometric authentication flows
• Apply subscription limits and paid feature access
• Improve performance, reliability, and security

We do not sell your data to third parties.

Data Protection & Security

We implement industry-standard security measures, including:

• Secure authentication systems
• Device passkey authentication through supported browsers and operating systems
• Server-side geofence checks for protected clock-in and clock-out actions
• Storage of selfie evidence in protected cloud storage and linked employee attendance records
• Protected database access (Firebase security rules)
• Encrypted connections (HTTPS)

While we take security seriously, no system is completely immune to risk.

Cookies & Tracking

Employ.IM may use cookies or local storage to:

• Maintain login sessions
• Remember the last passkey login context on the device
• Remember business-scoped employee list data temporarily for dashboard performance
• Improve performance and user experience
• Store preferences

Your Rights

You have the right to:

• Access your personal data
• Update or correct your information
• Request account deletion
• Ask your employer or business administrator about selfie evidence retained for workforce attendance records

Selfie Evidence and Access

Employ.IM may capture selfies as part of specific mobile security flows on paid Professional and Enterprise plans. Mobile users on eligible businesses may be asked for one selfie during normal login and a fresh selfie every time they clock in from mobile, including manual and biometric clock-in flows. Starter and free-trial businesses do not receive this feature. Desktop users do not take selfies.

Selfie verification and Selfie Evidence review are available only to authorized business users on paid Professional or Enterprise plans. Starter and free-trial accounts do not receive access to these features.
